Sifely creates a door passcode on your Sifely locks for each Cloudbeds reservation. The passcode works only during the guest's stay, so you don't have to hand out keys or set codes by hand.
Below you'll find the setup steps, how passcodes are handled when a reservation changes, and answers to common questions.
1. Before you begin
Download the Sifely app, create an account with your email address, and add your locks.
To use Auto BookingCode, you must be the owner (Super Admin) of each lock. Make sure your locks are connected to the internet, either through a Sifely Gateway or by using locks with built-in Wi-Fi.
Pricing: $4.99 per device per month, with a 14-day free trial. We’ll send you a reminder 7 days before billing begins.
Each lock is billed once, even if it is assigned to multiple rooms. If you need 50 or more devices, select Contact sales to discuss an account plan.
2. Connect Sifely to Cloudbeds
Step 1: Authorize the connection
In Cloudbeds, open Marketplace, find Sifely, and click Connect APP.
Sign in to your Sifely account if prompted. Review the requested permissions, then select Allow Access.
Step 2: Import your rooms
On the connection success page, select Import Rooms to import all rooms from your Cloudbeds property.
Step 3: Subscribe your locks
Select the locks you want to use to create guest passcodes. Review the subscription details and confirm using your saved payment card.
Step 4: Assign locks to rooms
Your imported rooms are grouped by room type. Select + assign locks next to a room, then choose one or more locks.
- Assign multiple locks to a room if guests need access through more than one door.
- Assign a shared lock, such as a front entrance, to multiple rooms. You’ll only be charged once for that lock.
- Rooms without an assigned lock will not receive passcodes.
Step 5: Set your passcode preferences
Choose how guest passcodes are generated:
- Last 4 digits of the guest’s phone number — the default.
- Random 4-digit code.
If a reservation has no phone number, Sifely uses a random 4-digit code.
You can also choose how early a passcode starts working before check-in and how long it remains active after check-out. Set each buffer separately, from 15 minutes to 2 hours. The default is 30 minutes for each.
Step 6: Set up guest messages in Cloudbeds
Sifely does not send passcodes directly to guests. Use Cloudbeds to include them in your guest messages.
| Messaging option | How to include the passcode |
|---|---|
| Guest Experience | Add {{door_lock_code}} to your message templates or automated messages. |
| Email Templates | Go to Account → Settings → Email → Templates and insert the Sifely door code custom field. Sifely creates this field when you connect. |
We recommend scheduling your message 1 day before check-in, after the passcode has been created. Messages sent before a passcode is available will not include it.
3. How passcodes work
3.1 When are passcodes created?
Sifely creates a passcode 3 days before check-in, provided the reservation is assigned to a room with a subscribed lock.
- Reservations made within 3 days of check-in: The passcode is created right away if the room and lock are assigned.
- Rooms assigned within 3 days of check-in: The passcode is created when the room is assigned.
- Rooms with multiple locks: The guest receives the same passcode for all assigned locks.
If the selected passcode is already in use on a lock, or a lock is offline, Sifely creates an offline passcode instead.
3.2 Where can I find a passcode?
Sifely saves the passcode to the Cloudbeds reservation in two places:
- The door lock key.
-
The Sifely door code custom field.
You can also open the reservation in Sifely to view passcodes for each lock, their status, and the activity log.
3.3 What happens when a reservation changes?
| Change in Cloudbeds | What happens in Sifely |
|---|---|
| Stay dates change | The old passcode is deleted, and a new passcode is created for the updated dates. |
| Room changes | The passcode is immediately deleted from the old room’s locks, and a passcode is created for the new room’s locks. Send the updated passcode to the guest. |
| Reservation is canceled or marked as no-show | The passcode is deleted. |
| A no-show reservation is reinstated | The passcode is created again. |
| Guest checks out | The passcode stops working at the end of its validity window, including the configured check-out buffer. |
4. Manage your integration
Open the Auto BookingCode management page in Sifely to manage reservations, rooms, and billing.
| Section | What you can do |
|---|---|
| Reservations | View passcode statuses: Pending, Ready, Failed, Deleted, and Expired. Open a reservation to see passcodes for each lock and the activity log. |
| Rooms | Update which locks are assigned to each room. |
| Subscriptions and Billing | View or cancel subscriptions, update your payment card, and view invoices. |
| Passcode Settings | Change your passcode preferences and validity buffers. |
| Guest Notifications | Review guest notification setup information. |
| Platform | Check your connection status or disconnect Cloudbeds. |
| Contact Support | Get help with the integration. |
5. How to Disconnect Sifely from Cloudbeds
5.1 Option A: Disconnect from Sifely
- Cancel any subscriptions set to renew in Subscriptions. If you have an account plan, contact sales to cancel it.
-
Go to Auto BookingCode → Platform → Disconnect.
Existing passcodes remain on the locks until they expire. Your room-to-lock assignments and passcode settings are saved and will be restored if you reconnect the same property.
5.2 Option B:Disconnect from Cloudbeds
- Disconnecting in Cloudbeds doesn't cancel your Sifely subscription. Cancel it in Subscriptions first so you aren't billed for locks that no longer receive passcodes.
- Follow the Cloudbeds help article “How to disconnect an app from Cloudbeds PMS”
6. Get help
For help with setup or passcodes, contact Sifely support:
- In the Sifely app: Help Center → Feedback
- Email: cs@sifely.com
- Help Center: Auto BookingCode
- Support hours: Monday–Sunday, 8:00 AM–5:00 PM Pacific Standard Time (PST)
7. FAQ
7.1 Why hasn’t a reservation received a passcode?
First, check whether check-in is more than 3 days away. If so, the passcode is not due to be created yet.
If check-in is within 3 days, check that:
- The reservation is assigned to a room in Cloudbeds.
- That room has a lock assigned in Sifely.
- The lock has an active Auto BookingCode subscription.
Open the reservation in Sifely and review the activity log for details.
If the status is Passcode Failed, the failure reason will be shown. Sifely does not automatically retry failed passcode creation, so arrange another way for the guest to access the property.
7.2 Why is the passcode different from the last 4 digits of the guest’s phone number?
This can happen when:
- Your passcode setting is Random 4-digit code.
- The reservation does not include a guest phone number.
- The intended passcode is already in use on a lock.
- A lock is offline.
In the last two cases, Sifely creates an offline passcode instead. Check your passcode settings, the phone number in the reservation, and the lock’s connection status.
7.3 Why is the passcode missing from a guest message?
The message may have been sent before the passcode was created, or the template may be missing the passcode field.
Check that:
- The passcode is available on the reservation.
- Your template includes
{{door_lock_code}}for Guest Experience, or the Sifely door code custom field for Email Templates.
We recommend sending passcode messages 1 day before check-in.
7.5 Can I use a lock someone shared with me?
No. You must be the lock’s owner (Super Admin) to use it with Auto BookingCode.
7.6 Can I assign the same entrance lock to multiple rooms?
Yes. A shared entrance lock can be assigned to multiple rooms, and it is billed only once.
7.7 Can I connect Sifely to another booking platform at the same time?
No. A Sifely account can connect to one platform at a time. Disconnect Cloudbeds before connecting another platform.
7.8 Why are my existing reservations missing?
Existing reservations are not imported automatically when you assign a lock to a room.
If the reservation list is empty, select Sync reservations. Otherwise, a reservation will be picked up when Cloudbeds next sends an update for it.
